This notice explains how I collect, use, store and protect personal information when you visit my website, contact me, book coaching, or work with me.

2. What information I collect

Depending on how you interact with me, I may collect:

  • Contact information: your name, address, email address and telephone number.
  • Booking and payment information: appointment details, invoices, payment status and information needed to manage your bookings.
  • Coaching information: information you choose to share during coaching, relevant notes, goals, progress and agreed actions.
  • Health information: where you share it, information relating to physical health, menopause, mental health or other health matters that is relevant to our coaching work.
  • Website information: technical information such as IP address, browser type, pages visited, cookie preferences and website usage data.
  • Website comments: the name, email address and comment content you submit if you leave a comment on my website.

Please only share information that is relevant to your coaching and that you are comfortable sharing.

3. How I use your information and the legal reasons

I use personal information only where there is a lawful reason to do so.

To provide coaching and manage bookings

I use your contact details, booking information and relevant coaching information to arrange appointments, communicate with you, deliver the agreed service and manage our coaching relationship.

Legal basis: This is generally necessary to take steps at your request before entering into a contract and to perform the coaching contract.

To manage payments and business records

I use relevant information to issue invoices, record payments, maintain accounts and meet tax or other legal requirements.

Legal basis: Legal obligation where the law requires me to retain or use the information; otherwise, the appropriate contractual or legitimate-interests basis, depending on the activity.

To manage and improve my website

I may use technical information to keep the website secure, understand how it is used and improve its performance.

Legal basis: Depending on the activity, legitimate interests or consent. Where cookies or similar technologies require consent, I will seek that consent before using them.

To communicate with you

I use your contact details to respond to enquiries, provide information about your bookings and communicate about services you have requested.

I will only send marketing communications where I have a lawful basis to do so. You can opt out of marketing at any time.

4. Health information and coaching notes

You may choose to share information about your health or personal circumstances during coaching. Health information is classed as special-category personal data and receives additional protection under data protection law.

I use relevant information only where it is necessary for the coaching work and where the law permits me to do so.

For health information, I must have both a lawful basis under Article 6 of the UK GDPR and an applicable condition under Article 9. Where I rely on your explicit consent, I will ask for that consent separately and keep a record of it. You can withdraw that consent at any time. Withdrawal does not affect processing that took place lawfully before you withdrew it.

I will not assume that agreeing to the coaching contract automatically gives me explicit consent to process health information.

I aim to keep coaching notes relevant and proportionate, rather than recording unnecessary personal details.

Coaching is not a medical service. I do not use your information to diagnose or treat medical conditions.

5. Who may receive your information

I do not sell your personal information.

I may share relevant information with service providers that help me operate my business, where necessary and lawful. These may include:

  • Hostinger: website hosting.
  • Bookly: appointment booking, where personal information is processed through the booking system.
  • Google Analytics: website analytics, subject to the applicable cookie and privacy settings.
  • CookieYes: managing website cookie preferences.
  • WordPress: website functionality and comments.

I may also share information with my accountant, professional advisers, or appropriate authorities where necessary to meet legal obligations, protect rights, or address a serious safety concern.

I will share only information that is reasonably necessary for the relevant purpose. Where a provider processes personal data on my behalf, I will take appropriate steps to ensure that suitable data protection arrangements are in place.

Some providers may process information outside the UK. Where this happens, I will ensure that any required legal safeguards for international transfers are in place.

6. How I store and protect your information

I keep coaching records in paper and digital form. I take reasonable steps to protect them from unauthorised access, loss, alteration or disclosure.

These steps may include keeping paper records in secure storage, restricting access to digital records, using suitable passwords and security settings, and using reputable service providers.

No method of storage or transmission is completely secure, but I take appropriate precautions for the information I hold.

7. How long I keep your information

I keep personal information only for as long as necessary for the purpose for which it was collected, including legal, accounting and business requirements.

Different records may need different retention periods. For example:

  • Coaching notes and client records: retained for a defined period after coaching ends, based on the needs of the service, confidentiality, potential complaints and legal claims.
  • Invoices and financial records: retained for the period required by applicable tax and accounting rules.
  • Enquiries and booking information: retained for as long as needed to respond, manage the booking or deal with follow-up matters.
  • Website comments and technical information: retained according to the needs of the website, applicable settings and legal requirements.

When information is no longer needed, I will securely delete it or destroy it, unless I have a lawful reason to retain it for longer.

8. Cookies and website analytics

My website uses cookies and similar technologies to support its functionality and, where enabled, to understand website usage.

CookieYes helps manage cookie preferences, and Google Analytics may collect information about how visitors use the website.

Non-essential cookies and similar technologies will only be used where the required consent has been obtained. You can manage your preferences through the cookie settings on my website. You can also manage cookies through your browser, although blocking essential cookies may affect website functionality.

Please see the cookie information displayed on my website for details of the cookies actually in use.

9. Website comments

If you leave a comment on my website, the information you submit may be stored and the comment may be visible publicly.

Your email address will not be displayed publicly as part of the comment. WordPress may process technical information to help detect spam and maintain website security.

Please avoid including private or health information in a public website comment.

10. Your data protection rights

Depending on the circumstances, you have the right to:

  • Request access to your personal information.
  • Ask for inaccurate information to be corrected.
  • Request erasure of your information where the law allows.
  • Ask for processing to be restricted in certain circumstances.
  • Object to processing carried out on the basis of legitimate interests or for direct marketing.
  • Request data portability where the legal conditions apply.
  • Withdraw consent where processing relies on consent.

These rights are subject to legal conditions and exceptions. I will not normally charge for handling a request. I will respond within one month, although the law allows additional time in certain complex cases.

To exercise your rights, contact me at kellyleighcoaching@gmail.com.

You also have the right to complain to the UK Information Commissioner’s Office (ICO) if you are concerned about how your information is handled. Information is available at https://ico.org.uk/make-a-complaint/.

11. Information about children

My coaching services are intended for adults. I do not knowingly collect children’s personal information through my website for the purpose of providing services to children. If you believe a child has provided personal information to me inappropriately, please contact me so I can review the situation.

12. Changes to this notice
